JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Assistant Dean of Finance and Administration, the Financial Coordinator directs and manages the administrative needs of the Graduate Medical Education (GME) departments' finances. This position is responsible for preparing, monitoring, and processing resident reimbursements and invoices, coordinating resident payroll activities, supporting the onboarding of new residents and fellows, and maintaining accurate personnel and program data in New Innovations. The Financial Coordinator serves as a primary point of contact for ECFMG requirements, resident health and disability insurance inquiries, and other financial and administrative matters.

MINIMUM REQUIREMENTS:

EDUCATION: Bachelor’s Degree. (TRANSCRIPT REQUIRED)

EXPERIENCE: One (1) year of experience managing budgets/organizations, preferably in a university setting; OR a combination of education and experience to equal four (4) years.

  1. Coordinates the onboarding for new residents and fellows annually, ensuring all required documentation and deadlines are completed accurately and timely.
  2. Develops and maintains onboarding checklists in New Innovations for residents and fellows.
  3. Coordinates Tennessee medical license exemptions for all residents and fellows.
  4. Processes pay increases for residents advancing to the next level of training and terminates residents upon completion of the residency program.
  5. Verifies resident payroll monthly, ensuring residents are charged to the appropriate Chart of Accounts (COA).
  6. Processes purchase orders, contracts, and other procurement activities supporting the administration of the GME program.
  7. Processes loan deferment forms.
  8. Advises GME program managers on UT policies and procedures related to contracts, purchasing, financial transactions, and expenditures.
  9. Assists in managing the New Innovations database and keeping resident records with up-to-date information.
  10. Performs other duties as assigned.
