JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:

The Research Administration Coordinator provides transactional, records, and administrative support to research administration. The position operates under established procedures and escalates matters requiring interpretation of sponsor terms, regulation, or institutional policy.

MINIMUM REQUIREMENTS:

EDUCATION:

High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE:

Four (4) years of administrative or business support experience; OR Associate’s Degree and two (2) years of administrative or business support experience; OR a combination of education and experience to equal four (4) years.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of office and business support operations.
  • Knowledge of records management and electronic recordkeeping.
  • Skill in accurate data entry and document control.
  • Skill in spreadsheet construction and standard report preparation.
  • Ability to follow established procedures and to recognize matters requiring escalation.
  • Ability to maintain confidentiality of institutional and personnel information.

  1. Maintains complete, accurate, and retrievable proposals, awards, and agreement records in institutional systems.
  2. Assembles and organizes documentation in response to audits, sponsor inquiries, and institutional reviews.
  3. Prepares, processes, and routes routine research administration documents and forms under established procedures.
  4. Maintains sponsor system access credentials, registrations, and institutional profile data.
  5. Enters and verifies data in research administration systems under established standards.
  6. Tracks inquiries and follow-up activities through resolutions to support timely and responsive service.
  7. Supports procurement, travel, and administrative processes for the office.
  8. Serves as an initial point of contact for routine questions and directs inquiries to the appropriate professional staff member.
  9. Performs other related duties as assigned.
