JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:

The Administrative Associate 4 provides effective management and administrative oversight of the Chair’s office within the Department of Urology. This position is responsible for ensuring efficient daily operations, coordinating administrative activities, and supporting the department’s overall goals and functions.

MINIMUM REQUIREMENTS:

EDUCATION:

High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE:

Five (5) years of administrative experience, preferably in a hospital or academic setting; OR Associate’s Degree and three (3) years of administrative experience; OR a combination of related college coursework and work experience equal to five (5) years.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work independently with honesty and integrity.
  • Skill in Microsoft Word, Excel, PowerPoint and Outlook.
  • Excellent written, interpersonal and critical thinking skills.
  • Ability to maintain discretion in identifying and processing sensitive and confidential information/assignments.
  • Ability to compose and edit documents for content, grammar, punctuation, and format for concise and accurate documents.
  • Ability to work under pressure and time constraints while handling changing priorities/deadlines to complete assigned tasks.

WORK SCHEDULE: This position may occasionally be required to work evenings.


  1. Manages daily administrative operations and provides direct support to the Chair and faculty.
  2. Prepares correspondence, reports, presentations, and other documents using Microsoft Word, Excel, and PowerPoint.
  3. Coordinates travel arrangements for the Chair and faculty, including airfare, hotel accommodation, ground transportation, rental cars, and detailed itineraries.
  4. Provides administrative coordination and support for all faculty searches from initiation through appointment.
  5. Creates, maintains, and updates official search and recruitment records and enters required information into institutional systems.
  6. Coordinates and completes new-hire documentation, ensuring all required forms and approvals are finalized prior to the employee’s start date.
  7. Prepares all appointment and reappointment documentation and annual reviews.
  8. Completes expense reports in DASH.
  9. Performs other duties as assigned.
