Provides comprehensive administrative and document management support for the Office of Undergraduate Admissions by downloading, indexing, and maintaining accurate student admission records. Oversees the intake, tracking, and distribution of transcripts and admissions documents across multiple platforms, coordinating closely with Evaluation Counselors, Recruitment staff, the Registrar’s Office, and campus partners to ensure timely and accurate admissions decisions. Delivers front-line customer service and operational support, including email and front counter coverage, correspondence preparation, and assistance with major recruitment and enrollment events.

Minimum Qualifications: Requires a bachelor’s degree. Relevant experience working in a related field(s) or at the University level. Experience helping end-users resolve issues and optimizing their workflow
Preferred Qualifications: 2 years of experience in a related field or at the University level. Experience in enrollment services office

Compensation and Benefits:

- Anticipated hiring salary: $35,000 - $39,000

Student Record and Document Management
- Uploads and indexes all incoming admissions documents to appropriate student file as appropriate admission requirement.
- Receives and prepares college and high school transcripts for tracking and evaluation.
- Maintains accuracy for student records and manages all documents received to be matched, identified, tracked, and indexed correctly in student admission files
Receives, scans, and distributes all incoming mail for the Office of Undergraduate Admissions
Utilizes multiple admissions software platforms to upload and prepare admissions documents to maintain accurate student files for admissions
Matches incoming documents with existing new student records for all new student types
Document Processing Flow
- Prepare admission documents to be processed by the Evaluation Counselor team for admission decisions
- Collaborates with Evaluation Counselors and Recruitment Team to ensure student documents are maintained, distributed appropriately, and matched to appropriate student files.
- Downloads all incoming college and high school transcripts from various platforms, identifies student admission records and uploads documents with student ID added for Evaluation Counselors daily workflow.
- Collaborates with the Registrar’s Office to support college transcript processing and articulation for all new and readmit students, utilizing various transcript platforms, including Parchment Receive Premium and Parchment Raptor.
Undergraduate Admissions Office Support
- Maintains and responds to UTC transcript email account
- Acts as Admissions front counter coverage and prints admission letters
- Supports Undergraduate Admissions team at major recruiting events like Blue and Gold Preview, Accepted Student Day, Power C, and New Student Orientation

Collaborates with Mocs One Center for issues related to student documents for admission
The ideal candidate will possess the following:
- Admissions process flow, Banner processes, Microsoft Office.
- Programming languages (such as python, java, etc)
- Providing interpretation and resolution for user issues that are non-technical in nature. Demonstrate proficiency in utilizing critical thinking to effectively address and resolve issues.
