THIS IS A PART-TIME POSITION LOCATED IN KNOXVILLE, TN (20 HOURS PER WEEK)
JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 assists the Pediatric Language Clinic (PLC) Program Director with light administrative duties related to the day-to-day running of the clinic needed to maintain operations and grant funding through the Dept. of Education/Tennessee's Early Intervention System (TEIS).
Market Range: 04 Hiring Range: $18.00/Hourly
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of office experience; OR Associate’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of MS Office including MS Word and MS Excel.
- Accuracy in typing and data entry.
- Ability to read both printed and cursive writing.
- Excellent organizational abilities, time management skills, and ability to attend to details.
- Excellent communication skills, including the ability to maintain a friendly and professional demeanor with patients, students, and staff.
- Creates and maintains patient contact/charts. Sets-up of enrollment packets. Set-up, organizes, and prepares electronic & hard copies of patient files.
- Assists in the management of referrals, including required documentation; maintains patient contact list.
- Requests records from other agencies as directed; faxes records to other agencies when requested.
- Performs administrative duties related to the operation of the PLC as assigned and overseen by the PLC Program Director.
- Completes activities required by PLC's licensing and monitoring bodies for the grant, such as completion of annual documents, monthly fire drills, schedule testing of alarm system.
- Completes file audits to ensure license and funding requirements are met.
- Performs miscellaneous clerical duties including but not limited to answering phones and logging or filing faxes, general filing and copying, and monitoring the building and program supply needs (e.g., facility services, office supplies, etc.)
- Supervises work-study student tasks, if needed.
- Performs other duties as assigned.
