The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of CRM Systems Data Specialist. Reporting to the Associate Director of CRM, the CRM Systems Data Specialist is responsible for responsibilities related to CRM support of data loads and updates, intake and process of user requests for data access, and support of routing of general user questions to the related functional area or personnel.

Required Education and Experience

The candidate who fills the CRM Systems Data Specialist position is required to have:

  • High School Diploma

  • 5+ years of relevant experience

  • Experience working with databases, CRMs, or enterprise systems (Salesforce preferred)

  • Familiarity with data governance concepts (standardization, validation rules, deduplication, documentation).

  • Experience with user support and ticketing systems.

A valid driver’s license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general, any significant driving offense less than 12 months old will eliminate the application from consideration for the position.

Preferred Education and Experience

In addition to meeting the required qualifications, the preferred candidate will have:

  • Associates degree

  • Ability to prioritize and manage multiple requests with deadlines.

  • Strong problem-solving skills and appropriate escalation judgment.

  • Ability to collaborate effectively with UT campus advancement staff and Central Services teams.

  • Ability to follow defined procedures while identifying opportunities to improve them.

Job responsibilities include, but are not limited to:

Data Operations and Quality Management: Execute routine data loads and updates to the Salesforce-based CRM using approved tools, templates, and procedures. Prepare and validate import files (formatting, standardization, validation, de-duplication checks, and required fields). Complete post-load verification (record counts, spot checks, exception review). Maintain clear documentation of requests, source files, load outcomes, and any exceptions for auditability and continuity.

User Support, Intake and Routing: Serve as a primary intake for general CRM/data questions from UT campus advancement staff and UT Foundation Central Services. Triage requests, gather required details, and route items to the correct functional group (e.g., data services, reporting, CRM administration, gift processing, or other Central Services teams) following established workflows. Manage customer expectations and provide a high level of customer service to stakeholders.

Process Support and Continuous Improvement: Contribute to job aids, templates, and documentation that improve consistency and reduce errors. Identify recurring issues and recommend improvements to intake, data handling, and quality processes. Support efforts to standardize and improve data practices. Participate in training and cross-functional coordination to support a consistent CRM across the UT Foundation community.
