The University of Tennessee at Martin is seeking a highly organized and proactive Administrative Specialist to join the Office of Regional Centers and Online Programs in Jackson, Tennessee. This pivotal role provides comprehensive administrative support to the Jackson Center Director and works closely with faculty, staff, and students to ensure seamless operations and a supportive student experience.

This pivotal role provides comprehensive administrative support to the Jackson Center Director and works closely with faculty, staff, and students to ensure seamless operations and a supportive student experience.

Minimum Requirement
High school diploma with 2 years of relevant experience in office administration, sales, or recruiting.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Proficient in Microsoft Office Suite, Google Workspace, Canva, and social media platforms.
Capable of working independently and managing multiple priorities.
Positive, collaborative mindset with the ability to engage diverse audiences.
Reliable transportation required.

Preferred Qualifications:
Bachelor’s degree with 1-2 years of relevant experience.
Prior experience in higher education, student support services, or campus operations.
Proficiency in managing social media for organizational outreach.

Student Engagement & Support
Manage recruitment records using CRM software.
Guide prospective and current students on registration, financial aid, admissions, and course selection.
Provide campus tours and promote programs and services.
Maintain accurate student databases and advising materials.
Coordinate exam proctoring (CLEP, Major Field, Senior Exit, etc..

Administrative & Office Management
Oversee daily office operations and support adjunct faculty and staff.
Compose correspondence, record meeting minutes, and generate reports.
Supervise student workers and distance learning (DL) technicians.
Maintain inventory and manage ordering of office, lab, and instructional supplies.

Technology & Distance Learning
Support distance learning technologies and troubleshoot technical issues.
Coordinate training for DL room technicians.
Update and manage social media campaigns and the Center’s website.

Human Resources & Payroll
Process timesheets and payroll for adjuncts, staff, and student workers.
Submit HR-related forms, including adjunct approvals and employment documentation.

Financial & Procurement Duties
Handle procurement card transactions, pay invoices, and maintain expense records.
Process travel and vendor documentation via the DASH system.
Event Planning & Facility Management
Coordinate logistics for student events, recruiting activities, and special functions.
Reserve and manage space usage in accordance with Center policies.
Maintain key inventories, building cleanliness, and annual equipment audits.

Other Duties
Support non-credit programming, including camps and workshops.
Serve as a courier and assist with year-end fiscal processes.
Perform additional responsibilities as assigned by the Center Director.
