Translation Coordinator - IPS

The Translation Services Coordinator is responsible for overseeing and delivering high-quality translation services for the organization. This role manages the end-to-end coordination of translation projects, maintains and updates translation databases and related systems, and ensures accurate billing and payment processes. The coordinator also supports the onboarding of new clients and translators, helping to establish smooth workflows and effective communication channels.
This position requires strong analytical skills and sound judgment to evaluate individual projects, determine appropriate approaches, and apply relevant standards, policies, and guidelines. The ideal candidate is detail-oriented, organized, and able to balance multiple priorities while upholding the organization’s quality and service standards.
The role is responsible for coordinating and delivering translation services, maintaining, and updating translation databases, preparing billing information for the business office, and supporting the onboarding of new clients and translators. The position requires sound judgment in evaluating individual projects and applying the most appropriate standards, procedures, and guidelines.
Required Qualifications
- Education: High School Diploma or GED
- Experience: 1 year of experience in customer service, project coordination, or related fields.
- Knowledge, Skills, Abilities:
- Ability to execute careful attention to detail in regard to linguistic complexities.
- Excellent proactive communication skills.
- Ability to multi-task, organize, prioritize, and problem-solve simultaneous and consecutive projects.
- Computer skills – word processing, formatting of documents under entire MS-Office suite and related Apps.
- Ability to assess client needs and resource availability.
- Ability to exercise good judgment for responsible fiscal activity and appropriate resource allocation.
- Knowledge of at least one language other than English, including familiarity with interpretation or translation terminology.
Preferred Qualifications
- Education: Bachelor’s Degree, Project Management or Administrative Certifications
- Experience: 2 years of experience in customer service, project coordination, or related fields. Ability to speak Spanish and/or Arabic.
- Knowledge, Skills, Abilities: Strong customer service skills and experience, including the ability to communicate effectively with clients and contractors.

- Schedule and Coordinate Translation Requests
- Manage translation requests, ensuring timely and accurate delivery of high-quality translations.
- Assign projects to qualified translators based on language expertise, subject matter specialization, and availability.
- Monitor translation quality and follow up with clients and translators regarding project outcomes and service experience.
- Database and Record Management
- Maintain and update databases tracking client requests, contractor availability, and completed services.
- Ensure data accuracy, consistency, and confidentiality across systems.
- Onboarding and Orientation
- Assist in onboarding new contractors, providing guidance on procedures, and systems.
- Support the onboarding of new clients by explaining available services and intake processes.
- Finance and Billing Support
- Collaborate with the finance office to process invoices and payments for contractors.
- Track billing cycles and ensure timely resolution of discrepancies or payment issues.
- Maintain accurate records of payments and financial transactions related to language services.

- Support program staff with ad hoc administrative tasks.
- Occasional work on weekends or evenings as assigned.
- Some travel within the state.
