Constituent Management Specialist II, Gift Import and Processing

The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Constituent Management Specialist II. Reporting to the Senior Director of Gift Import and Processing, the Constituent Management Specialist II is responsible for review, manual entry and posting of charitable and non-charitable gifts and pledges within UTFI’s donor CRM (Salesforce Ascend).
The purpose of this position is to assist with accurate and timely recording contributions in support of the University of Tennessee System’s philanthropic mission.

Required Education and Experience
The candidate who fills the Constituent Management Specialist II position is required to have:
High School Diploma or GED
Minimum 2+ years of experience with data entry, financial processing, or administrative support experience
Strong attention to detail, accuracy and organization
Proficiency in Microsoft Word, Excel, Teams and Adobe
Excellent communication and customer service skills
Ability to maintain confidentiality and meet deadlines
A valid driver’s license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general, any significant driving offense less than 12 months old will eliminate the application from consideration for the position.
Preferred Education and Experience
In addition to meeting the required qualifications, the preferred candidate will have:
Associate’s or bachelor’s degree in Business, Accounting, Communications, or related field
Experience in higher education, nonprofit advancement, or gift processing
Familiarity with Salesforce Ascend (ACE), Oracle DASH, or similar CRM/financial systems

Job responsibilities include, but are not limited to:
Gift and Pledge Entry: Enter and post mailed checks, credit card contributions, and cash gifts in accordance with UTFI policy and PCI compliance standards. Post pledge commitments and payments in Ascend, ensuring proper designation, campaign, and appeal coding. Scan and attach supporting documentation to donor records in ACE for full visibility and record keeping. Maintain understanding of ACE and DASH (Oracle), with particular attention to deposit integrations, assessments, exclusions, and PCI compliance. Accurate and promptly process a wide range of gift and pledge types, including:
Gift agreement pledge posting
Contributions with returned benefits
Adjustments and reversals
Gifts submitted via EGT forms (UTK & UTIA)
Direct deposits, third-party deposits, grants, and mailed contributions
Contribution Intake and Preparation: Retrieve, open, and organize daily USPS and courier deliveries containing contributions. Sort documentation for processing by the GIP team. Release funds to UTFI’s bank account using the remote deposit capture scanner. Maintain secure handling and tracking of all physical gift documentation until posting. Assist with acknowledgment letter preparation and documentation forwarding as needed.
Cross- Training and Team Support: Serve as secondary support for assigned processes (e.g., mailed appeals, EGT gifts, daily deposit reconciliation). Participate in cross-training to ensure continuity and coverage during absences or high-volume periods. Support special projects and data integrity initiatives as assigned.
