The GSS Program Coordinator serves as the primary advisor for the Graduate Student Senate (GSS) and its various committees. This position also serves as a liaison between GSS, the Graduate School, and other campus offices and leadership. The GSS Program Coordinator is an advocate on campus for graduate and professional students, guiding and assisting with the development and planning of their programs, events, and initiatives. This position provides training and oversight for GSS leaders in matters pertaining to their operations, budget, adherence to fiscal policy, and initiatives.

The GSS Program Coordinator serves as the primary advisor for the Graduate Student Senate (GSS) and its various committees. This position also serves as a liaison between GSS, the Graduate School, and other campus offices and leadership.

Required Qualifications

  • Education: Master’s Degree
  • Experience:
    • Minimum 2 years office experience
    • Experience working with MS Office, proficient working in Excel
  • Knowledge, Skills, Abilities:
    • Ability to work with, mentor, and serve a diverse student body
    • Ability to plan events
    • Ability to be detail oriented
    • Proficient computer skills
    • Exhibit strong oral and written communication skills
    • Exhibit customer service skills
    • Ability and willingness to collaborate with individuals both inside and outside the university
    • Ability to interpret, implement, and follow policy and procedures
    • Ability to analyze data and make decisions accordingly

Preferred Qualifications

  • Experience:
    • 2 years office experience in a higher education setting
    • Experience working with graduate students in a university setting
    • Experience working with IRIS
    • Experience with event planning
  • Knowledge, Skills, Abilities:
    • Knowledge of UT Fiscal Policy and Procedures

Compensation and Benefits

UT market range: 08

  • Anticipated hiring range: $45,000 - $48,000

Serve as the primary advisor for the Graduate Student Senate and its various committees. This includes but is not limited to:

  • Providing guidance, support, and instruction for the formation and development of GSS initiatives.
  • Creating and implementing an annual training program/retreat for GSS and its leadership.
  • Overseeing and directing the GSS election process each spring, and assists with the transition/training of GSS leadership.
  • Meeting at least biweekly with the GSS president and Vice President; monthly with committee chairs.
  • Attending all GSS meetings.
  • Maintaining an accurate record of all GSS actions, initiatives, and materials.
  • Building a network of support across campus for graduate initiatives and to assist with the day-to-day activities of GSS.

Provides budgetary guidance for the President, Vice President, and Treasurer of Graduate Student Senate. This includes:

  • Working with the Business Manager of the Graduate School to determine annual budget.
  • Assisting GSS leadership with fiscal planning and goal setting for the academic year.
  • Making sure all GSS initiatives follow fiscal policy.
  • Meeting monthly with the treasurer to review ledgers and track goals.
  • Oversight and tracking of the GSS Travel Awards (with Graduate School).
  • Working with the Graduate School on purchasing as needed.
  • Advising GSS in their fundraising and charitable efforts.

Serves as an advocate for Graduate and Professional Students on campus:

  • Visible and accessible to Graduate and Professional Students and provide oversight of their initiatives.
  • Attending all GSS Meetings and advise as needed.
  • Working with leadership of all Graduate Student Organizations; determine needs and ways to partner with the campus and community.
  • Developing and facilitate opportunities for students to engage with campus leadership across all levels.
  • Developing working relationships and introduce GSS leadership to key offices on campus (Registrar, Bursar, Provost, Chancellor, Student Life, SGA, etc.)
  • Providing oversight to ensure campus involvement by GSS leadership (as they serve on committees, attend discussion groups, etc.)

Provides Oversight of GSS Event Planning

  • Working closely with the GSS Special Events Committee to organize and host regular, ongoing opportunities for students to participate in diverse and inclusive social events and activities.
  • Coordinating Graduate & Professional Student Appreciation Week activities
  • Assisting GSS as they partner with the Graduate School, the Office of Student Engagement, and the Division of Student Life to host special events for our Graduate and professional students.
  • Coordinating GSS recognition opportunities throughout the year.
  • Assist GSS with communicating and evaluating special events, as well as seeking promotional opportunities with media/campus outlets.
  • Providing a data driven annual report of all GSS programs, events, and initiatives.
  • Developing and implement a comprehensive assessment plan of GSS initiatives that utilizes a variety of assessment methods and measures. Conduct regular student surveys as part of this assessment plan.


Miscellaneous

  • Assisting the Graduate School with special events, such as receptions, hooding, orientation, DGS meetings, etc. and encourage senators to be involved in graduate events, as appropriate, in service to their constituents.
