This position exists to support the department's responsibility to manage accurate data and telematics oversight to allow for quality and actionable reporting. This role will manually add records to various software, complete systematic data reviews and clean ups, and create ad hoc reports. Additionally, this position will oversee the telematics program for the University to ensure responsible management. Deliverables from this position will help to guide the department towards educated fleet decisions based on actual use data. This position will work closely with and report to the Operations Supervisor.

Required Qualifications:

  • Education: High School Diploma or GED
  • 1 year of employment experience

Knowledge, Skills, and Abilities:

  • Ability to enter, update, and maintain large volumes of fleet-related data
  • Ability to combine and manipulate datasets from various sources into coherent, usable formats
  • Ability to cross-reference, clean, and validate data through strong spreadsheet skills
  • Ability to analyze vehicle usage metrics to support cost-saving and operational efficiency strategies.
  • Ability to collaborate with fleet staff and other departments to share insights and support decision-making.
  • Ability to develop dashboards, reports, and proactive alerts
  • Strong software abilities and adaptability with an emphasis on Excel and other Microsoft software

Preferred Qualifications:

  • Education: Vocational or Associates Degree
  • Experience in fleet operations, telematics, transportation data management, or reporting.

Knowledge, Skills, and Abilities:

  • Strong experience with Power BI, Tableau, or other BI tools, in addition to Microsoft certifications
  • Experience utilizing Large Language Models and other AI tools to assist with analytical tasks
  • Fleet or related industry experience

  • Accurately enter and update fleet-related data (assets, fuel, maintenance, telematics) across multiple systems. Regularly audit data for errors and missing info. Reconcile discrepancies between data sources.

  • Review large datasets to identify trends, anomalies, inefficiencies, and cost-saving opportunities. Solve data-driven problems through reporting across various disciplines in our organization.

  • Combine and manipulate data from various sources to create unified dashboards and decision tools used for varying tasks. Support reporting needs—weekly, monthly, and ad hoc with both internal and external customers

  • Review telematics data for actionable items to increase efficiency, reduce costs, and reduce vehicle downtime. Regularly review incoming telematics data (location, speed, idle time, harsh braking, fuel use, engine alerts) for accuracy and completeness and issues to address. Analyze driving patterns and behaviors to identify risky, inefficient, or fuel-wasting habits. Flag and investigate anomalies, missing data, or suspicious readings.

  • Develop and maintain dashboards and reports for key telematics KPIs—e.g., idle time, MPG, maintenance alerts. Collaborate with maintenance teams to respond to engine diagnostic alerts proactively

  • Assist with user management, system troubleshooting, and general training for new users. Create ad hoc reports to meet operation needs.

  • Support the Short Term Rental operation of our department with customer service interactions in the absence of the primary employees.

  • Support the billing processes and act in the absence of the Operations Supervisor

  • Oversee paperwork and processes associated with vehicle onboarding and offboarding

  • Any other tasks as required in support of the department.
