This position exists to support the department's goals of maximizing the experience for our customers while reducing downtime of the fleet by providing just in time parts access, efficient scheduling of workloads, and providing quality work order and other documentation to aid in reporting. This position supports and reports to the Shop Supervisor and acts as the second in command in their absence. This position will work closely with and report to the Shop Supervisor.

Required Qualifications:

  • Education: High school diploma or GED
  • 1 year of employment experience

Knowledge, Skills, and Abilities:

  • Strong computer skills with the ability to quickly learn and fully utilize various software
  • Ability to communicate well and with an emphasis on internal and external customer service
  • Ability to maintain a strong oversight and organization of departmental parts inventory
  • Ability to combine and manipulate datasets from various sources into coherent, usable formats
  • Ability to collaborate with fleet staff and other departments to share insights and support decision-making.

Preferred Qualifications:

  • Education: Vocational Training or Associates degree
  • Experience in inventory management, inventory management, or scheduling experience

Knowledge, Skills, and Abilities:

  • Fleet or customer service experience
  • Strong Microsoft skills including Excel and Outlook
  • Experience utilizing Large Language Models and other AI tools to assist with analytical tasks

  • In tandem with the Shop Supervisor, prioritize and schedule work based on urgency, business need, data availability, and shop capacity. Work closely with departmental points of contact to efficiently schedule vehicles and services including both the internal shop and third-party vendors.

  • Serve as the point of contact for both customers and vendors. Create accurate, thorough work orders with all relevant data. Ensure accurate and complete records including accurate pricing, ATA codes, and documentation. Update customers with service and repair statuses and estimated completion times. Update garage software to correctly reflect the current status of the work order.

  • Monitor and maintain the on-hand inventory based on established min/max standards. Identify, order, and receive one time use parts for the techs. Ensure accurate pricing and record keeping through the use of fleet software. Maintain a 5S-standarized and organized parts area. Constantly evaluate and forecast part needs in tandem with known scheduled workloads to minimize tech and vehicle downtime.

  • Act in the absence of the Shop Supervisor to ensure continuation of operations.

  • Work in tandem with Shop Supervisor to create valuable reporting for the operation.

  • Any other tasks as required in support of the department.
