JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Program Support 1 assists with many aspects of the internal medicine residency program including organizing, and implementing recruitment, departmental academic conferences, and social media. This position represents the Department of Medicine and the university at regional and national meetings. In addition, this position is the first contact most residency candidates from across the country.

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of office experience in higher education; OR a Bachelor’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Effective written and verbal communication skills to communicate appropriately with physicians, administrators, other departments within and outside own institution, as well as resident applicants.
- Ability to function independently, use discretion and attention to detail.
- Computer literacy includes word processing and database management.
- Ability to quickly learn new software such as MedHub, ERAS, and Thalamus.
WORK SCHEDULE: May occasionally work evenings. May occasionally require overnight travel.
- Compiles reports on residents' educational progress for clinical competency committee meetings as well as mid- year and end- year reviews.
- Coordinates resident completion process which includes preparing verification forms and updating all alumni addresses.
- Coordinate resident conference travel which includes registration, preparing travel authorizations, travel reimbursement reports in DASH/Oracle, reporting presentations to the Graduate School of Medical Education office, and informing the residents of updates in the travel policy.
- Prepares faculty summary reports for yearly faculty evaluations.
- Corresponds to interested applicants with questions about the residency programs.
- Manages resident records, including confidential files and evaluations.
- Schedule and manage the InTraining Exam for all internal medicine residents.
- Arranges faculty and resident interviews of candidates.
- Coordinates faculty, residents, rotation, nurse, peer, self- assessment, and program evaluations.
- Prepares information packets for residents and faculty for interviews and information packets for candidates.
- Coordinates and compiles resident leave requests.
- Performs other duties as assigned.
