The HRIS Coordinator position is an hourly/non-exempt position in the Human Resources Department. Under general supervision, performs a variety of routine to complex administrative technical and professional work related to administration of Host records for the company. This position will manage various components in multiple HRIS systems in a fast-paced environment.

Additionally, the ideal candidate will be able to display and live out Lead with Love qualities, strongly rooted in the Dollywood Company culture, by being patient, kind, trusting, unselfish, truthful, forgiving, dedicated and accountable.

Summary of Essential Functions and Responsibilities

  • Maintain government and company policy compliance with employee files for all Hosts at all Smoky Mountain Country (Dollywood) properties.
  • Expert in HR information systems to include but not limited to:
    • UKG Pro (Herschend Host Hub)
    • UKG (Herschend Host Hub) Recruiting and Onboarding
    • UKG (Herschend Host Hub) Workforce Dimensions timekeeping system
    • Appointment Plus
    • Workday
  • Proactively coordinate the complete life cycle of over 3000 Host records from new hire to final separation by working closely with department heads and administrative assistants. This includes but is not limited to building relationships, maintaining regular contact, creating processes and training those involved in events such as new hires, rehires, transfers, promotions, merit increases, clearances, and separations
  • Complete onboarding functions such as Form I-9, inspecting I-9 documents, E-Verify, and all other required tasks
  • Activate new hire and rehire Hosts in the Herschend Host Hub, ensuring all Host records are accurately input
  • Activate and track Contract, J-1, and H2B Visa types
  • Assist with the new HCMS when it rolls out. Become familiar with the system and assist the teams as needed
  • Assist with direct deposit enrollments, cancellations, and paycheck questions when Payroll Coordinator is unavailable
  • Track and follow-up on missing host documents
  • Assist Payroll Coordinator when needed
  • Assist with input of performance evaluation data and filing of performance evaluations when needed
  • Process demographic and employment related records for Hosts
  • Process all separations and ensure that they are removed from payroll in a timely manner. Move terminated Host folders to the term file room. Plan mass clearance events with large groups, i.e., college groups, water park closing, H2Bs, and end of season
  • Assists in tracking Rehire Letter Acceptances/Declines, along with tracking Hosts who need a rehire letter
  • Assist Benefits with questions regarding Hosts’ status and break in service questions
  • Manage multiple weekly and bi-weekly reports such as TN Separation Notices and exit survey
  • Oversee and regularly update the training materials related to the position
  • Maintain strict confidentiality and judgement at all times regarding privileged information
  • Perform routine office functions
  • Keep work area clean and safe
  • Be knowledgeable of and assist with employment functions of all hosts, filling in at the Front Desk as needed
  • Assist with all HR-sponsored Host events as needed, including evenings and weekends

Education and Experience Required

  • High school diploma or equivalent with at least two years office or administrative experience in a high-volume setting required
  • Proficiently type 40 wpm with ability to compose and structure reports
  • Proven proficiency in computer software including but not limited to Microsoft Office (Excel, Word, Outlook), ad hoc reporting, and cloud based software
  • Experience with UKG Pro, Workday, or other HRIS preferred software
  • Ability to safely operate company vehicles according to company policy. Must have valid driver’s license, proof of auto liability insurance and acceptable motor vehicle driving record.

Physical Requirements | Environmental Conditions

  • Lifting and Carrying: Position may require occasional to frequent lifting of up to 25 lbs utilizing company’s safety guidelines for safe lifting
  • Mobility: Position may require intermittent to prolonged sitting, standing and/or walking for duration of shift, up to 13 hours
  • Repetitive Movements: This position may require performing repetitive movements and tasks throughout the shift, including repeated use of hands, arms or other body parts as part of typical job functions
  • Environmental Conditions: This position requires the ability to perform work tasks in varying weather conditions to include extreme cold and heat
  • Cognitive and Sensory Requirements: This position requires strong cognitive skills, including the ability to think critically, solve problems, process and retain information, have attention to detail and communicate effectively using approved communication methods.
