This role serves as the welcoming face and organizational backbone of the office, providing front desk coverage while supporting select senior leaders with essential administrative needs. The position is responsible for creating a professional, friendly, and well-run office experience including managing calendars and meetings, greeting visitors, handling day-to-day office needs, and supporting internal teams. Success in this role requires strong organization, discretion, attention to detail, and a service-oriented mindset, along with the ability to juggle priorities in a fast-paced, collaborative environment.
Responsibilities
Provide day-to-day administrative support to 2–3 senior leaders, including calendar management and meeting coordination
Schedule meetings across internal and external stakeholders, ensuring accurate invites and logistics
Assist with meeting preparation, including agendas, materials, and post-meeting action items when appropriate
Coordinate executive travel as needed, including flights, hotels, and itineraries
Help triage incoming requests, flag priorities, and support timely follow-up
Assist with meeting prep and light follow-up when appropriate
Handle sensitive information with a high level of discretion and confidentiality
Serve as the primary point of contact for the office, greeting employees, visitors, and guests with warmth and professionalism
Manage visitor check-ins and notify staff of arrivals
Handle incoming and outgoing mail, packages, and deliveries
Maintain a clean, organized, and welcoming front desk and reception area
Manage conference room scheduling and basic meeting setup
Ensure meeting spaces are tidy, stocked, and technology-ready
Assist with basic AV and meeting tech troubleshooting; escalate issues as needed
Act as a go-to resource for general office questions and day-to-day support
Support internal meetings, office events, and special projects as assigned
Represent the company and office culture with professionalism, attention to detail, and a service-oriented mindset
Preferred Qualifications
4+ years of experience in an administrative assistant, executive assistant, front desk, or office coordination role
Experience supporting senior leaders with calendar management and meeting coordination
Strong interpersonal and communication skills with a professional, welcoming demeanor
Highly organized with the ability to manage multiple priorities and shifting requests
Proven discretion and sound judgment when handling confidential information
Comfortable working in a fast-paced, in-office environment
Proficiency with Google Workspace and/or Microsoft Office; quick to learn new tools and systems
Basic familiarity with office technology, AV setups, and virtual meeting platforms
Detail-oriented, dependable, and service-minded with a proactive approach to problem-solving
This position is based in Nashville, TN. Hybrid working schedule, 4 days in office.
