The Hospitality and Campus Operations Senior Procurement Coordinator is responsible for sourcing, purchasing, and coordinating goods and services required to support hospitality and campus operations. This role manages end‑to‑end procurement activities for both direct hospitality needs (e.g., food & beverage, guest services, housekeeping supplies, FF&E) and indirect operational categories (e.g., maintenance, office supplies, technology, travel, and services).Operating under limited supervision, the Senior Hospitality Procurement Coordinator applies broad procurement knowledge, analyzes non‑routine issues, and supports supplier performance management.

Hospitality and Campus Operations Senior Procurement Coordinator Responsibilities

  • Responsible for executing daily procurement activities that ensure uninterrupted hospitality operations.
  • Source and procure goods and services across hospitality and indirect operational categories.
  • Process purchase requisitions, purchase orders, and contract documentation in accordance with procurement policies.
  • Coordinate order fulfillment, delivery schedules, and issue resolution with suppliers and internal stakeholders.
  • Monitor inventory levels and reorder points to support operational continuity.
  • Ensure compliance with company purchasing standards, approval thresholds, and audit requirements.
  • Resolve non‑routine procurement issues by analyzing root causes and recommending solutions.
  • Manages supplier relationships and supports commercial effectiveness.
  • Support supplier selection activities, including bid reviews, RFQs/RFPs, and comparative analyses.
  • Assist with pricing, terms, and service‑level negotiations in alignment with strategic sourcing guidance.
  • Administer contracts, track renewals, and ensure compliance with agreed terms.
  • Maintain and update vendor records, price lists, and preferred supplier documentation.
  • Manage and report on supplier scorecards, service issues, and corrective actions.
  • Escalate supplier performance or risk issues to leadership and sourcing teams as appropriate.
  • Provides analytical support and drives cost and process improvements.
  • Conduct market and industry research related to hospitality goods, services, and supplier trends.
  • Create and analyze reports on spending, pricing, supplier performance, cost savings, and usage trends.
  • Identify cost‑reduction, demand‑management, and efficiency opportunities without compromising service quality.
  • Support forecasting, budgeting, and demand planning in partnership with finance and operations.
  • Assist strategic sourcing teams with data preparation and implementation of sourcing initiatives.
  • Share best practices and provide guidance or training to junior procurement staff as needed.

Hospitality and Campus Operations Senior Procurement Coordinator Requirements

  • Supplier negotiation, contract administration, and vendor relationship management
  • Working knowledge of procurement and purchasing best practices, pricing structures, and hospitality supply categories
  • Ability to analyze spending, market trends, cost drivers, and supplier performance metrics to identify risks and cost‑saving opportunities
  • Strong written and verbal communication skills, including the ability to present data‑driven insights clearly
  • Proven ability to collaborate cross‑functionally with operations, finance, strategic sourcing, and service teams
  • Understanding of hospitality operational needs, service‑level expectations, inventory management, and demand planning concepts
  • Ability to independently resolve non‑routine procurement issues using sound judgment and analytical thinking
  • Strong time‑management and prioritization skills in a fast‑paced, deadline‑driven environment
  • Capability to mentor or provide guidance to junior procurement staff
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and experience using ERP or procurement systems
  • Ability to balance cost control, quality standards, and guest experience considerations

Education: Bachelor’s degree preferred

Years of Related Experience: Minimum of 3 years of progressive experience in procurement, purchasing, or supply chain coordination. Experience supporting hospitality, food service, lodging, retail, or service‑oriented operations strongly preferred.
