Reporting to the Assistant Dean for Administration and Principal Business Officer the primary purpose of this position is to assist in the day-to-day operation of the Thomas F. Frist, Jr. College of Medicine, Dean's Office. The role provides general administrative support, serves as a primary point of contact, oversees event planning and management, coordinates facilities, security and scheduling, and supervises student workers. Reporting to the assistant dean for administration and principal business officer provides administrative and office support for the Office of the Dean to include organizational, informational and communication needs in a timely and professional manner; Oversee daily office activities. Serve as a primary point of contact and liaison on a range of day-to-day issues; Perform triage duties helping direct visitors to the appropriate resources; Work with faculty and staff to help resolve process issues; Manage administrative situations and inquiries, as appropriate; Screen and direct telephone calls. Organize meetings and other special events throughout academic year. Coordinate dates and time, venue, attendance, agendas and facilities associated with each event. Compose and prepare written documentation and correspondence for the office as needed; Work with the assistant dean for administration to prepare and produce reports from Banner, ARGOS, Qualtrics, AAMC, and other third-party software; Responsible for preparation and distribution of operational reports as needed. Monitor classrooms, offices, and other areas for proper mechanical, electrical, technological, and HVAC operational order; Liaise with Facilities Management Services (FMS), IT, and Campus Security to address issues; Monitor space availability for FCoM; Collaborate with other campus departments and colleges to schedule meeting space in FCoM through EMS. Work collaboratively with the assistant dean to select and supervise undergraduate student worker(s). The above statements describe the job's essential responsibilities and requirements.
