Executive Assistant to the Chief

Location: Brentwood, TN

Type: Direct Hire

Compensation: $70-75k

Position Summary:

This Executive Assistant role provides high-level administrative support to the Chief and other corporate leaders. You will be a key member of the team, handling a variety of tasks including calendar management, travel coordination, expense reporting, and document preparation. Your work will ensure the smooth operation of day-to-day activities and help the leadership team focus on strategic priorities.

Responsibilities:

  • Provide comprehensive administrative support to executives.
  • Build strong, collaborative relationships with executives and their assistants across the organization.
  • Prepare, review, and distribute executive correspondence and documents, including reports, presentations, policies, procedures, and contracts.
  • Manage and maintain daily calendars and schedules via Microsoft Outlook.
  • Uphold the highest level of confidentiality and provide timely updates to the executive team.
  • Coordinate logistics for on-site and off-site meetings and conferences, including travel, itineraries, and support materials.
  • Process and submit travel expense reports for timely reimbursement.
  • Assist other departments as needed to cover absences or heavy workloads.

Education & Experience:

  • Associate’s degree or high school diploma required; Bachelor’s degree preferred.
  • 5+ years of experience as an executive assistant, preferably supporting C-suite executives.
  • Strong judgment and ability to maintain confidentiality.

Knowledge, Skills & Abilities:

  • Exceptional organizational and time-management skills; able to prioritize tasks effectively.
  • Strong oral and written communication skills.
  • Ability to interpret and apply guidelines and procedures independently.
  • Professional demeanor with the ability to build positive working relationships.
